A customer portal gives your customers one place to book, track, pay and get answers — without going through a person on your side.
Every new customer brings a predictable stream of small requests. Where is my job. Did my payment go through. Can you resend that invoice. None of them are hard, and none of them need you — but each one costs a person a few minutes and a context switch.
At twenty customers that is a mild irritation. At two hundred it is somebody's entire job, and it is the first thing to fall over when that person is on leave.
The point of a portal is not to give customers a website. It is to break the link between how many customers you have and how many people you need to answer them.
Signs you have outgrown the phone:
Secure login, with the right people in a company seeing the right things. A site manager and an accounts clerk need different screens.
Live status without a phone call. Customers see what stage their work is at and when to expect it, which removes most of the chasing.
Every document in one place, downloadable at any hour, without someone digging through an inbox to resend it.
Pay directly from the portal through a South African gateway. Invoices settle faster when settling them is two clicks rather than an EFT and a proof of payment.
Customers send you what you need — approvals, photos, signed quotes — attached to the right job instead of scattered across email and WhatsApp.
New requests arrive structured and attached to a customer record, rather than as a message someone has to transcribe.
You almost certainly do not need all six at once. The first version should cover whatever your team answers most often, and nothing else.
HostAfrica's customers could only manage their hosting services, domains and invoices from a desktop control panel. Every password reset, renewal and payment question that could not wait for someone to reach a computer became a support ticket instead.
A focused first version starts around R15,000. Most full portals land between R50,000 and R150,000, depending on how many customer types you have and whether payments run through it.
